What we collect,
and what we don’t.
The short version
We collect one thing: what you type into the fit-review form, if you choose to send it. We use it to answer you. We don't sell it, we don't advertise to you, and we don't add you to any list. Our web server keeps standard access records for 14 days. That's it.
What we collect, and when
If you fill in the fit-review form, we record what you enter: your business name, trade, region, priority service, capacity, your name, email and phone number. We also record that you ticked the consent box, which version of that wording you agreed to, and the date and time.
We ask for this because we can't honestly tell you whether we're a fit without it. One possible answer to a fit review is that you shouldn't buy.
If you only read the site, our web server records what web servers normally record: your IP address, the time, the page requested, the response, the page you came from, and your browser's identifier. These are kept for 14 days, then deleted automatically.
We use Google Analytics, which sets cookies in your browser. It records which pages you read, how far down them you scroll, which links you follow away from this site, roughly which region you're in, and which site or search engine sent you. It also records that you started filling in the fit-review form — but not what you typed. The words you type reach us only if you press send.
We use it for one purpose: working out which pages are worth more of our time. We have not switched on its advertising features, we don't build advertising audiences, and we don't use it to work out who you are.
We also use Cloudflare Web Analytics, which counts visits without setting any cookie.
There is no advertising pixel on this site — no Meta pixel, no LinkedIn tag, no remarketing of any kind. We have never run ads that follow you around, and we don't intend to.
If you'd rather not be counted, Google publishes a browser add-on that turns Analytics off on every site that uses it. Blocking third-party cookies in your browser settings does the same job. Neither one stops you using this site or the form.
What we do with it
We use your enquiry to answer your enquiry — to assess fit, prepare a response, and talk to you about it. When you submit the form, a notification containing what you entered is emailed to us so we can act on it.
We do not sell your information, share it for anyone else's marketing, add you to a mailing list, or use it for automated decisions.
Directories are separate
We also operate three contractor directories. Two rules apply, without exception:
1. Information from a directory listing is never used to sell agency services.
2. Contacting us here — or not contacting us, or turning down a proposal — has no effect on any listing, ranking, or treatment on any directory.
Where your information is stored
Our server is located in Ashburn, Virginia, in the United States. So although we're a Canadian company, what you send us is stored in the United States and is subject to United States law, including lawful access by US authorities.
We also rely on these providers, who necessarily handle some data:
Cloudflare, Inc. (United States) — security and delivery for this site, the anti-spam check on the form, and cookieless visit counting. They see visitor IP addresses.
Google LLC (United States) — provides Google Analytics. They receive your IP address, the pages you view, and the site or search engine you arrived from.
Brevo (European Union) — delivers the notification email, which contains what you submitted.
Hetzner Online GmbH — provides the server described above.
How long we keep it
Web server access records: 14 days, then deleted automatically.
Google Analytics records: 14 months, then deleted automatically by Google.
Fit-review enquiries: we keep them for 24 months unless you ask us to delete them sooner. This period is under legal review and may shorten.
Your choices
You can ask us to show you what we hold about you, correct it, or delete it. You can withdraw your consent at any time. Email hello@groundlinemarketing.com and we'll answer within 30 days — usually much sooner.
If you're unhappy with how we've handled your information, you can complain to the Office of the Privacy Commissioner of Canada.
Security
The form is served over an encrypted connection and protected by an anti-spam check. Access to stored enquiries is limited to the business. We're honest about the limit: no system is perfectly secure, and we won't pretend otherwise.
Children
This site is for businesses. It isn't directed at anyone under 18 and we don't knowingly collect information from them.
Changes
If we change this policy we'll change the date at the top. If a change materially affects information you've already given us, we'll contact you about it rather than rely on you re-reading this page.
